Finding a good summer vacation home can be tricky. Here are some things to look for when trying to find a summer rental home.

I think the best way to enjoy the summer is to put the car away.  Look for a town of city that is pedestrian friendly or has a great public transit system.  Then, make sure that your list of possible rental homes has a location that takes advantage of the public transit system or is located in a place you can walk everywhere.  I’m telling you there is nothing better than not having to drive for a few months.

Next, make sure your vacation rental has the ammenities that you will need.  It is suprising, but sometimes these rentals just take advantage of their location and they do not even offer laundry or parking.

The local events may be another thing to look into.  Check the local papers and find out how much activity is going on in that town or city.  If you are going on vacation for the whole summer it may get boring at times, so try to get familiar with the activities in your area.  I know in Vai, CO there are weekly events that are lots of fun, and typically they are free too!  I have also seen lots of Vail Vacation Homes that will have lots of information waiting for you when you arrive.  It is good to do the research, becasue lots of times the best activities are anly known by the locals, which brings me to the next point. Meet some locals so they can give you the best tips on what to do and where to eat.  They are always the best resource.

Confessions of a European Event Manager

 

Introduction

When a company or organisation wants to put on a conference or large event, it is unlikely they would consider doing it themselves. Most companies do not have all the necessary in-house expertise, and releasing personnel from their normal work could be less cost efficient than bringing in the experts. There is also a great deal more to organising a conference than most people would realise in that it is a very stressful and technical activity. The client therefore would usually call in another company that specialises entirely in conference and event management.

There are a great many companies offering Corporate Event Management Services so competition is keen. Even if you are the best you still have to compete with others who offer lower prices and might appear to be cheaper. One of the ways of countering the cut throat business in the UK is to look at offering Conference Production Services in Europe. European managers then have the option of using a UK or EU company to provide for their Conference or Event. UK conference services are more than able to offer competitive prices. In the current economic climate with the pound at its lowest value for many years, UK companies have a distinct advantage in the EU market. The following example will serve as a useful illustration of the many benefits of taking your event expertise outside of the domestic environment.

I plan to take you through a step by step account of the stages of managing an event in Europe using examples from a recent contract in Rome.

Step 1

As a company offering conference and event management services it is vital that the quality of service provided is professional and value for money. To this end attention to detail is paramount. The project manager will know his team and the quality and reliability of the technical staff, the quality of the electronic equipment and the soundness of the sets that are used. Once these issues are in place and proven on previous jobs then the pitch to the client can be confident and knowledgeable so that the client can be reassured things will run smoothly.

Step 2

The Brief

The brief we were given was a three and a half day conference event in Rome in early February for approximately 150 international delegates attending, the majority of whom would be travelling from the USA.

Technical Specification

The technical requirement was to combine a rear projection set and a four speaker PA system with radio microphones. Also data and video switching, wireless table microphones for delegate interaction with presenters in question and answer sessions. They wanted two show laptop PC’s loaded with PowerPoint and various video software to assist with conversion of any extra footage required to a suitable format for projection.

Step 3

A quotation was provided for all the physical hardware and the technical requirements and the services of the project manager and his team. No subcontracting was necessary. Details were agreed and the quote was accepted by the client and a contract issued. It is important to make sure you have a contract and in it, a clause for cancellation charges.

Event companies have the advantage of using a regular team and have all the necessary equipment to provide for the needs of the client.

Step 4

When organising any event abroad we find it more dependable and economical to use our own technical equipment and workforce who we know and trust. There are no problems with language and the team understand the technical issues that are likely to be encountered. They are used to working together, each having their strengths to contribute to the whole, and they can be trusted to do the best possible job with the minimum of fuss. However planning is a key activity particularly when organising meetings and conference events abroad. If you have forgotten something it’s too late to go back when you have driven 600 miles. So having decided to transport the full conference set, staging and equipment by van to Rome we then worked out the details of how best to achieve it.

Step 5

Transportation

The size of the event is critical to the choice of shipping. In our Rome example it was possible to convey all the required equipment in a hire van which could be driven using a standard UK driving licence. If the scale of a conference or exhibition event is much larger it would be recommended to use a dedicated freighting company to collect, deliver and return staging and technical elements to the destination. Using a dedicated freighting company also has the benefit of delivering the key personnel to the event without them being tired out after driving across Europe. In other words the team can be flown out to the event so that they are fresher on arrival. With cheap flights to Europe it can also work out more cost effective than overnight stays for eight or ten people driving en-route.

However, in this case it was decided that the event technicians would drive the van to Rome which would still be well within budget for all staging and technical elements. When hiring a vehicle it is essential to pay attention to maximum load capacity of the vehicle. The weight of the technical equipment and set must be less than the maximum load and once the main systems are onboard, care must be taken not to fill it to the brim with extra bits and pieces.

It is so easy, when being helpful, to add the client event material, such as delegate registration systems and materials, brochures, display and graphic panels. The result can easily mean that the maximum safe load allowance for the vehicle is compromised. As the load capacity is a legal necessity it is never a good idea to agree to extra items on behalf of the client without being aware of the likely impact on overall weight.

Step 6

The Journey

As the distance was twelve hundred miles there and back it was decided that with an allotted journey time of two and a half days each way to Rome would be adequate. Although it would have been possible to travel to Rome in two days we have learned from experience to allow a margin for any delays en route. It also allows for the technicians themselves to be fresh enough after the road trip to be able to work effectively.

When travelling long distance across Europe and at a time of year when the weather might be inclement, it is essential that the safety of personnel and other road users is paramount. By dividing the travel time between two drivers and rotating them every two hours, we have found that neither is unduly tired. This system allows large distances of up to 600 miles a day to be covered with safety. Regular breaks help to maintain concentration and awareness, with total travel times of no more than ten hours in any day and preferably no more than eight hours a day. It is never advisable to rely on a bare minimum of journey time for any long distance travel to meet an event deadline.

Some companies offer tailor made team building events that combine company events management with exhilarating activity.

Having decided on the route to be taken from the UK to Rome we left the UK via a ferry from Dover to Calais and then journeyed to an area just North of Dijon on day one. From Dijon on day two, the journey continued as far as Bologna via the Mont Blanc tunnel. We decided on day three, to make an early start for the half day drive from Bologna to Rome and deliver the equipment to the venue, then rest up for the remainder of the day so the crew would be fresh to start work the next morning.

Navigation across Europe is now much more straight forward with Satellite, but we would also advise printed route plans and local maps of any places where a stop-over is planned. It has sometimes been the case that even with the latest updated information the Sat Nav cannot always find the precise location of the road you want, due to the ongoing construction of many new motorway networks. You may find yourself suddenly stuck on a road it doesn’t know and this is when the co-driver can be a great help to navigate you through the confusion.

Step 7

Accommodation for Overnight Stops

Choosing accommodation for suitable overnight stops is worth some research. There is a plentiful choice of motel stops near to all major roads in France and Italy all of which are reasonably priced. However, there are great guest houses away from the main cities and major roads which offer a much more relaxing experience for a tired traveller and are usually cheaper than the chain motels. Often these places have secure parking enhancing vehicle security from theft and damage. After all, when freighting audio-visual systems with a value stretching to tens of thousands of pounds, peace of mind is useful to say the least.It is advisable to spend time during pre-event production locating places to overnight. There is little benefit from having to find a room late in the day at an unknown cost which may impact on the profitability of the job.

Step 8

On Site Conference Production

On arrival in Rome we drove the van to the conference venue so that the audio-visual equipment and staging could be unloaded directly into the conference room. This was to secure the items and have everything ready for installation the following day. Getting an early start to set up the equipment allowed for the client to begin presentation rehearsals on the afternoon of the rig day. Later on the same day there was to be an evening reception and brief welcome presentation to all attending delegates. The setting up procedures are tried and tested and the team worked like a well oiled machine so that all the audio-visual elements were complete and in place on schedule and all the technical systems were working correctly by the time the client presenters arrived from the USA.Our job is to make sure all the technical elements are set up and in working order by the time the client wants to use them and test their own systems. It is at this point that the last minute glitches will probably occur.

Step 9

Audio Visual and Production Content

An example of the kind of last minute technical hitches that has to be resolved is when a conference presenter is unable to submit his presentation during the pre-production period and will arrive on site with it in his briefcase (Probably having worked on it during his flight over). The production team will not know until late in the process what presentation format is required. However the presenter will still expect his material to be incorporated seamlessly into a master slide deck. If a conference set uses a wide screen projection format the content will need to be generated in a sixteen by nine aspect ratio. Unknown to the presenter however, the offered material may have been built around a slide template that used a four by three aspect ratio instead. Depending on content, this may have minimal impact on the look of the presentation but if there are images of people, or pie chart graphs, these will then appear as stretched and elliptical shapes which would be unsatisfactory. Fonts and text boxes may move out of alignment and embedded applications such as XL may well be impossible to read.

Some companies have highly trained staff to run av equipment for exhibitions and corporate events.

During the rehearsals for the first day of the conference one of the American presenters had travelled to site with a power point presentation containing video footage. Unfortunately the video content had not been embedded into his presentation so it did not appear as he expected. The video content was hyper-linked to files that were inaccessible from the PowerPoint presentation – supplied to us on a memory stick. Fortunately with our technical knowledge we were able to download the video from source and convert the video footage into a high resolution format that would be compatible with our audio visual systems. This is when event support specialists, who speak English as a first language and are familiar with the requirements of such last-minute complications, are priceless.

In an ideal scenario, all presentation content will have been tendered during the pre-production phase to minimise such last minute glitches, but more often than not on-site changes are required to re-format a presentation. Whilst it is by no means out of the question that a local AV company might well have been able to do the same, feedback from client events in Europe suggests that when they have used a local supplier they have often failed to be sufficiently expert to support such needs.

Step 10

During the Conference

Over the period of the two and a half day event we were able to further enhance our reputation with the client and delegates. Something that they had overlooked until the last minute was to provide appropriate themed music for role-play exercises. Although it had not been part of the original conference production brief, we were able to provide apt and timely presentation support at very short notice from our on-site database of over thirty thousand music tracks.Again, this was something which many of our European competitors may not have been able to achieve within the time frame and it would probably have added an extra cost.

Whilst seeming relatively minor points in themselves the above types of scenarios can be very stressful for conference and event organisers, who already have responsibilities that go beyond the presentation content. The corporate conference event being organised by the client is a huge task of delegate management and event logistics, so that any projects that can be left to an experienced dedicated event management team such as ourselves, frees them up to focus on their own tasks of delivering a successful delegate experience.

Step 11

Language Issues in European Conferencing.

When working in Europe either as an event manager, conference producer, or production company, it is always helpful if you are able to communicate directly with the people you meet at the venue and along the way. Whilst all major event management destinations and hotels across Europe have staff who will speak English, there are occasions when they will not be available. We are fortunate to have colleagues with rudimentary skills in French, Spanish and German who are all keen to improve their language skills. They are prepared to have a go whenever possible to try out what they have learned and this has sometimes proved to be invaluable. It may seem obvious to say, but we recommend that at least one on your production team should have a working knowledge of the local language and should be encouraged to use their language skills as often as possible. It is often surprising how a little effort can generate a much better response from those who you are working alongside.

Conclusion

If you haven’t given much consideration to the idea of working in Europe then we really recommend it. Conference events in Europe can be undertaken by a UK event production company at comparable cost to our European colleagues in the audio-visual supply sector. Favourable exchange rates add a further competitive edge to the costs of bringing your audio-visual and staging from the UK. Researching and planning the route and method by which conferencing systems are freighted and delivered will provide surprisingly low cost delivery solutions.

Taking your chosen conference production team with you to Europe will give increased peace of mind with regard to the quality of your technical support. Our client in Rome was very happy with the service and level of attention to detail we brought to their conference and repeat European corporate events are now routinely part of our conferencing diary. Fortunately our team really enjoy the experience of travelling abroad and having the opportunity during ‘down time’ to experience life in another culture and country. Particularly at the last night celebration which, rather like a topping out ceremony, tradition dictates must take place at the end of each show!

Achieving Independence Through Disability Aids

Introduction

Mobility – it is only really possible to appreciate what mobility means if your ability to move around freely is limited, then it takes on a whole new meaning.

Living with someone who is partially disabled gives me an insight into the kind of issues that people with disabilities have to deal with. When you are able and sure footed there is no real understanding of the limitations of not having full mobility of your person. Besides which nobody is particularly interested unless it concerns them directly. We all take it completely for granted when everything works as it should and we get on with living our lives concentrating on making money, raising a family, having a good time and other such normal everyday activities. In fact quite often we don’t even like to see people who are disabled and struggling because it makes us aware of our own vulnerability which reminds us of our mortality. Next time you see someone who is in a wheel chair, notice your own reaction to that person, and be aware of how you avoid eye contact and carefully get out of the way. People who use wheelchairs often say how people they meet will talk to the carer and ignore them as if they are stupid as well deaf.

Early Disability Aids

The first type of disability aid that most people will be familiar with is the walking stick. For some, it will be something to make them feel more stable on their feet when they suffer some impairment in walking. If a person has a broken leg or hip then crutches for a period of time will be needed and later a stick until full mobility returns. When I broke my hip I found the most frustrating thing was that I could not carry a cup of tea from one place to another so I improvised with a trolley on wheels which I could push along. When you have to use two arm crutches as I did to get about, there are no arms left to carry anything. For non spilling things you can use a bag to carry your things in which can be attached to your crutches, but not cups of liquid. Recently when visiting my husband in hospital I watched while the nurses unpacked a Zimmer frame on which they attached a plastic box with a tray for a lid. It was fixed like a basket on a bike. The patient had to practice pushing it along, and I realised it was because he lived on his own and needed to be able to transport things but couldn’t manage without two handed support. These types of early aids are common for people as they get older and lose their youthful mobility because of age related challenges. They are also required for those who have suffered accidents and injuries so that temporary mobility is affected.

Independence

One of the major frustrations for people becoming disabled is their loss of independence and freedom to be able to do what they want, when they want. If a person becomes disabled after years of normal living and independence there will be a great deal of anger and a need to make adjustments to the new situation. However, whatever the disability experienced there are a vast range of aids to help people live as independent a life as possible. Whatever the type of mobility problems a person has there is a solution to overcome the difficulty.

In the Home

When suffering loss of mobility or normal functioning whatever the reason, the first task is to create safety and functionality in the home where the level of disability determines the type of support needed.

One of the first things to consider is the quality| degree| level of comfort while resting. Correct support in bed and while sitting in a chair will allow the muscles to relax properly so that the body will function as well as possible. There are a range of Orthopaedic beds which allow for many different positions from lying to sitting and the best examples are the hospital beds where you will find electronic buttons to change the position of a patient with ease. Chairs can also be found that will allow for different positions and even a vibrating and massaging function incorporated into the frame. A friend of mine had a chair specially made which reclines, vibrates and massages in three different places and also tips forward when you want to get out for ease of standing up. When we visit we all want to have a go in it because it is such good fun.

The next test when disabled, is the function of toilet, bathing and dressing. There are a huge range of aids to chose from such as commodes and other toilet necessities, grab rails for showers and baths. My mother is severely arthritic and cannot get into the bath anymore, so she has a seat which lowers and raises her in and out of the bath. There are also walk in baths and then specially adapted showers with stools and slip mats to aid the sufferer. Also because my mother is partially sighted she cannot read the numbers anymore, so she has a set of talking weighing scales.

Having managed the getting up, washing and dressing as well as maybe a good rest in the special chair, moving around the residence will be next on the agenda. Depending of the level of incapacity it might be that a simple walking stick or Zimmer frame will support mobility. As well as grab handles in the bathroom, handles can be mounted alongside entrance doors and steps to help with negotiating different levels. Just because people suffer some sort of disability it doesn’t mean that they want to leave their homes, but when they live in a house and have stairs to negotiate then the use of a stair lift is a wonderful invention. Severely handicapped people may need a wheelchair in the home which requires a lot of space and maybe wider doorways to accommodate it.

The next activity for independent living is food preparation and dining. Standing can be a problem so a high stool to perch on might of value. Otherwise do as much preparation as possible sitting at the kitchen/dining table. If a person has a problem with holding cutlery and kitchen utensils, there are specially adapted items with larger handles for ease of use. With arthritis in the wrists, lifting items such as kettles and saucepans can be a problem, but there are available cleverly designed kettle and teapot tippers for ease of pouring. Using a food processer and electric gadgets will save a great deal of time and effort when preparing meals. Another simple aid which my mother found very useful is a grabbing stick or ‘Reacher’ that picks up items to save bending down.

Maintaining the home is sometimes difficult for a disabled person. Obviously there are washing machines, dryers and dishwasher to aid with tasks in the home but you can also get remote control vacuum cleaners that are radio controlled with a joystick or key pad such as for toy boats and aeroplanes. Long handled brushes and dusters help with hard to reach corners particularly the microfiber dusters that attract dirt and dust to them.

Other items available for people who suffer some level of limitation may be lever type handles for taps to make them easier to use. If a person has lost their grip there are special items to open cans, bottles and jars. Because my mother is partially sighted she has large buttons on her telephone and speed dialling so she can stay in touch with her family who are spread far and wide. She can order goods by phone which means with such aids she is able to retain her independence and stay in her own home. It seems that whatever the disability there is some clever invention to help overcome the problem.

Outside the Home

To enable a person who is disabled to live as normal a life as possible then aids outside the home are just as important as those inside. Wearing an alarm cord around the neck is a wise precaution so that if a person does get into difficulties while outside they can call for help. To be able to move around easily outside may only require a walking stick or a Zimmer frame for support but where mobility is more restricted, wheelchairs or electric scooters may be necessary. My mother used to love to garden but now the arthritis and osteoporosis has taken hold and her eyesight is impaired, she is severely limited in any activity outside. On a good day however she does have a garden stool which enables her to do some weeding and tidying of the flower beds. There are even wheeled seats for moving along the edge of flower beds when weeding. Long handled garden implements can be used to avoid bending or kneeling and raised beds will allow even wheel chair users to tackle the garden plot. Ramps may be installed to allow a wheelchair to move from one level to another, and sit-on lawn mowers are a possibility if you have a big enough lawn.

There is a relatively new product on the market called Flexiloc which is a modular system of tough polyurethane tiles that interlocks to form ramps of any size. It has the advantage of being able to run straight, turn corners, be used indoors or outdoors and has a good grip surface that is more comfortable than conventional surfaces. It can be used as a temporary solution where a permanent ramp is not viable and is easily dismantled to be reused again and again.

If a disabled person relies on a wheelchair then automatic gates and garage doors which open remotely is a big help. Cars or vans used for transporting electric scooters are usually specially adapted vehicles with ramps or lifts to allow the mobility scooter to be loaded up. Sometime cars may have to be adapted to allow for the lack of functioning of particular limbs. My husband cannot manage the foot pedal movement required for gear changing so we have switched to an automatic car to enable him to still drive.

The wheelchair mobility market tends to favour the three wheeled version of the mobility scooter, due to their amazing manoeuvrability, which can be particularly useful indoors.

There is a vast range of mobility scooters available both new and second hand. The mobility scooter is mostly a four wheeled vehicle which travels between four and eight miles an hour. However for the electric scooter there seems to be more three wheeled versions which travel at a maximum of six miles per hour. The speed is determined on the weather, the terrain and riders weight. A three wheeled scooter is inherently less stable and unless greater manoeuvrability is required it is better to get the four wheeled variety. Some scooters can be completely folded up to go into the boot of a car. The scooter usually has a chair with arms mounted over the battery enclosure with handlebars like a bike for turning and controls in reach of the hands. They are very easy to operate and comfortable to ride. The chairs vary with the amount of padding and enclosed back, usually the more expensive the more padding there is.

As well as the open versions of mobility scooters there are enclosed ones to protect the passenger from rain and wind. These come with lights, windscreen wipers, full suspension, mirrors and lockable doors as with a car and can cover larger distances. I have observed them in my local area travelling along the road rather than on the pavement.

Home Remote Controls

Where an individual is physically unable to get about inside or outside the home the use of remote controls is a valuable aid. Being able to manage and operate your entertainment centre remotely is only one of the possibilities. The availability of remote controls for opening and closing of blinds and curtains, switches for electrical equipment such as ovens, lights, cooking appliance and washing machines, is essential. For people who cannot easily answer the door there is a keyless door entry system designed to fit most latch locks which enable the elderly, the disabled and partially sighted who have difficulty using keys, to manage their security remotely.

One story I read in the paper a few weeks ago was of a young man who was so obese, in the region of forty stone, that he could not move out of his bed. He had an entertainment centre in his room remotely controlled and he ordered food online to be delivered to his house. There were three healthcare workers in attendance at all times to turn him in bed and see to his bodily needs; as well as people to prepare for him the food he had ordered. He was waiting for a stomach operation to staple his stomach together to reduce his intake of food. And all this was paid for by the tax payer. My feeling was that if there was no one to take such good care of him he would soon lose weight because he would not be able to get about and eat all that food.

Having read that story I question the value of having remote controls so easily available, because the forced activity of getting up and out of your chair to change channels is at least exercise to keep your circulation going. However for people who cannot move around easily then remote controls are a boon I am sure.

Conclusion

For the people who were born with a physical disability, may never know what it is like to be fully mobile and they may always yearn to live a normal life. For those who were once completely functional, when they become disabled they have to come to terms with their loss and face up to their own mortality. If the time comes when you are no longer able to do all the things you used to do, then be sure there are many creative aids to help you maintain as much independence as possible.
